The HR/Accounts Officer plays a vital role in managing both human resources and financial aspects of an organization. This hybrid role requires a unique blend of skills in HR management and accounting to ensure efficient and accurate handling of employee-related matters and financial transactions.
Key Responsibilities:
Human Resources:
- Assist in posting job openings, reviewing resumes, and coordinating interviews.
- Facilitate the onboarding process for new employees, ensuring proper documentation and orientation.
- Maintain accurate and confidential employee records, including personal information, contracts, and performance evaluations.
- Update HRIS (Human Resources Information System) with relevant employee data.
- Administer employee benefits programs, including health insurance, retirement plans, and leave policies.
- Address employee inquiries regarding benefits and ensure timely communication.
- Assist in resolving employee concerns and conflicts, escalating issues as needed.
- Support in organizing employee engagement activities and events.
- Assist in ensuring company policies and procedures are communicated and adhered to.
- Stay informed about labor laws and regulations to ensure compliance.
- Compile and analyze HR data to generate reports and insights for management decision- making.
- Assist in preparing reports on HR metrics, turnover, and other relevant data.
- Coordinate employee offboarding processes, including exit interviews and the completion of exit documentation.
- Participate in HR-related projects and initiatives, contributing to process improvements and strategic HR planning.
- Communicate and enforce HR policies and procedures to ensure consistency and fairness.
- Assist in maintaining a safe and healthy work environment by adhering to safety policies and regulations.
- Assist in organizing training sessions, workshops, and other learning opportunities.
- Support the performance appraisal process by collecting feedback, maintaining records, and assisting in performance review meetings.
Accounts and Finance:
- Maintain accurate financial records, including invoices, receipts, and transactions.
- Input and verify financial data in accounting software or spreadsheets.
- Process incoming invoices and prepare outgoing invoices to clients.
- Monitor accounts receivable and follow up on overdue payments.
- Reconcile bank statements with internal financial records to identify discrepancies.
- Review and process employee expense reports, ensuring compliance with policies.
- Assist in managing and controlling expenses within budget guidelines.
- Assist in preparing financial reports and statements for management and auditing purposes.
- Analyze financial data to identify trends and discrepancies.
Qualifications and Requirements:
- A bachelor’s degree in Human Resources, Accounting, Finance, or a related field is preferred.
- Proven experience in both HR and accounting roles is an advantage.
- Proficiency in using HRIS and accounting software, as well as Microsoft Office applications.
- Strong attention to detail, accuracy, and confidentiality.
- Excellent organizational, time management, and multitasking skills.
- Familiarity with HR policies, labor laws, and financial regulations.
- Effective communication and interpersonal skills.
